Undoing Sent Emails – What You Can and Can’t Do in Outlook on the Web

Option 1: Undo Send (For Any Email – But Only Up to 10 Seconds)
Best for: Stopping an email immediately after sending.
Outlook on the web has an “Undo Send” feature that delays email delivery for up to 10 seconds, giving you a short window to cancel.
To enable this feature:
1. Click the ⚙️ Settings (gear icon) in Outlook Web.
2. Select Mail > Compose and reply.
3. Scroll to Undo send and set the delay time (up to 10 seconds).
4. Click Save.
📌 Important: If you don’t click “Undo” in time, the email is fully sent and cannot be recalled.
Option 2: Message Recall (For Internal Emails Only)
Best for: Retracting an email sent within the same hotel organization (does NOT work for external emails).
Everyone at the hotel has their email created through Office 365 and uses Outlook. This means staff may be able to recall the message after sending.
To attempt a recall:
1. Open Sent Items and double-click the email.
2. Click File > Resend & Recall > Recall This Message.
3. Choose to Delete unread copies or Replace with a new message.
4. Click OK.
📌 Important:
❌ This only works for emails sent to staff within your hotel’s organization.
❌ Emails sent to Gmail, Hotmail, or external addresses cannot be recalled.
❌ If the recipient has already opened the email, recall won’t work.
